How much does it cost to hire bachata artists for a festival?

“How much is this going to cost me?” is the first question every organiser asks when building a festival line-up. The honest answer is: it depends. But what it depends on can be explained clearly — and knowing the factors lets you compare proposals properly and negotiate better.

We write this guide from the other side of the table: we are a couple of bachata artists who have worked with festival and congress organisers in several countries since 2022. This is what sits behind a quote.

The factors that move the price

The couple’s fee

This is the main and most variable part. The fee reflects each couple’s track record, training and demand: someone starting out doesn’t charge the same as a couple with years of festivals, certified training with the leading figures of a style, and an audience of their own that brings attendees to your event.

One important nuance: a higher fee isn’t always better for your festival, and a low one isn’t always a bargain. What matters is the ratio between what the couple brings — teaching level, show, ability to fill the room — and what they charge. What exactly you are booking

A single workshop doesn’t cost the same as a full package. The usual formats:

• Workshops: an agreed number of classes and their duration.
• Show: a performance involves its own preparation (choreography, costumes, edited music) and is usually quoted separately or as part of a package.
• Workshops + show package: the most common format at festivals, and almost always more efficient than booking each piece separately.
• Teacher training: a different format, with its own duration and price.

Travel expenses

Flights, accommodation and meals are normally covered by the organisation and are the second block of the budget. Logistics matter a lot here: bringing in a couple who live two hours away by car doesn’t cost the same as one who needs two connecting flights. The artists’ base matters — we are in Tarragona, one hour from Barcelona and its airport, which keeps travel across Europe simple.

Season and lead time

High-season dates are contested between events, and closing a deal on short notice weakens your negotiating position: fewer free dates remain and flights get more expensive. Booking 2-3 months ahead (or more) always plays in your favour.

What should be in writing

A serious quote is more than a number. Before confirming, you should have in writing exactly what the fee includes (number of workshops, duration, show, presence at parties), which expenses the organisation covers, the payment schedule and the cancellation terms. How to optimise the budget

1. Combine workshops and a show in the same trip. You pay for travel once; make the most of it.
2. Coordinate with nearby events. If another city in your region has an event on close dates, sharing artists can split the travel costs.
3. Book early. Better availability, cheaper flights, and time to promote your line-up.
4. Ask for specific proposals, not generic rates. With dates, format and expected attendance, any professional couple can give you a firm, comparable figure.
